Here is how you and our team work together inside QuickBooks: what we need from you, where to send it, how to share documents with us, and how to answer us in your Inbox. The lessons come straight from Intuit, the makers of QuickBooks, so the buttons match exactly what you see on your screen.

Three things to do.

These are the three steps we ask every client to set up. Watch them in order, or jump to the one you need — each has a video and a written guide. Once they are done, the four areas below are where we keep the conversation going.

Give us access to your books

This is the fastest way for us to work together. Invite us as your accountant so we can see your file, answer your questions, and keep your books moving.

  • Open Settings, then choose Manage users.
  • Select the Accountants (or Accounting Firms) tab.
  • Send the invite to accountant@meisterhoff.com — or ask us for our Firm ID and invite us that way.

Connect your bank and credit cards

When your bank feeds into QuickBooks, your money in and your money out land in one place. No more hunting through statements or waiting on paper.

  • In QuickBooks, open Banking and choose Connect account.
  • Sign in to your bank the same way you do online.
  • Choose how far back to pull transactions, then select Connect.

Get the app

The QuickBooks mobile app is the last setup step, and it is what keeps everything else easy. The app is especially useful for responding to your Inbox questions and for receipt capture — the camera that loads your receipts to us. Receipt capture is in QuickBooks Online on your computer too, so you can take care of business on the go, from wherever you are, instead of sitting down at a computer.

  • Download the QuickBooks mobile app from the App Store or Google Play, then sign in with the same login you use for QuickBooks.
  • Snap receipts: open the app and choose Receipt capture — the camera on your home screen — then photograph each receipt. Keep the whole receipt in the frame, and snap them one after another.
  • Work your Inbox: on a computer, Inbox is the button in the header at the top right. On your phone, it is at the top of your home screen — not in the menu. Tap it to read our notes and answer us, any time. The Inbox steps are below.
  • That is the whole job on your end. We take it from there — matching the receipt to the right bank transaction, categorizing it, and recording it where it belongs on your financial statements.

The Inbox is not included in the QuickBooks Online Simple plan. If you are on Simple, email your questions — and your payroll hours, if we run your payroll — to accountant@meisterhoff.com. Payroll does not run inside QuickBooks on the Simple plan, so we run yours in Gusto. Send your documents to us through Shared Documents.

That is the setup done

Just four things from here on
to stay in constant contact with your MeisterHoff Bookkeeping team.

The steps above are done — they only happen once. What follows is what you will use again and again: send us your receipts, answer the requests we send you, share your documents with us, and work your Inbox. Sending receipts and working your Inbox happen right on your phone or your computer. Requests and Shared Documents are online, on your computer. Nothing else is required of you.

Receipts and your Inbox work from your phone too. Requests and Shared Documents live in QuickBooks Online on your computer.
Sending receipts — first of the four

Get the receipt to us. There are three ways.

Use whichever is easier — your phone, your computer, or your own custom email address. They all put the receipt in your books, and we pick it up from there.

Receipt capture is built right into QuickBooks — it is in the mobile app and in QuickBooks Online on your computer. It is how clients load their receipts to us. For a bookkeeping fee add-on to our standard bookkeeping fee, we administer your receipt capture — tracking and coding every receipt to every transaction — so you never have to sort, file, or hang on to categorized receipts again. If you would like that, speak to Emmaline.

From your phone

  1. 1.Open the QuickBooks mobile app and sign in.
  2. 2.Tap Receipt capture — the camera on your home screen.
  3. 3.Snap a photo of the receipt. Keep the whole receipt in the frame. It saves itself, and you can keep snapping one after another.
  4. 4.Add a short note if it needs explaining — what it was for, and who it was with.

From your computer

Upload receipt

  1. 1.Sign in to QuickBooks Online on your computer.
  2. 2.Open Receipts in the left menu.
  3. 3.Choose Upload receipt and pick the file from your computer — you can add several at once.
  4. 4.Add a short note if it needs explaining, then save.

By your own email

Your custom address

  1. 1.Ask Emmaline for your custom email address — every client gets one of their own.
  2. 2.Save it in your email contacts list, so it is always one click away.
  3. 3.Email your receipts to it, attaching each receipt as its own image — just like forwarding any email.
  4. 4.They land directly in your receipt area in QuickBooks, and we take it from there.

Whichever way you choose, the receipt lands in your books and your MeisterHoff Bookkeeping team sees it.

However you send it, we will take it from there.

If any of this feels like a lot, no matter what, you can always email accountant@meisterhoff.com with your files, and we will load them into the right places for you — nothing to sort out yourself. That said, many clients find that knowing these steps makes their day easier and quicker, and it certainly keeps things far more organized than an inbox with hundreds of emails every morning.

Requests From Us

When we need something,
it shows up in My Accountant Requests.

Requests live in the same My Accountant area as your shared documents (see below). This is where the longer-term items land — a document we need for a period or a filing, or an answer we have to keep on the record. When we need something, we send a request: you open it, answer it, and hand over whatever we asked for, all inside QuickBooks.

Requests are started by your MeisterHoff Bookkeeping team. If you want to send us something yourself — a document or a question — your QuickBooks Inbox is the place, and the directions are below. If you are on the QuickBooks Simple plan, where there is no Inbox, use Shared Documents or email accountant@meisterhoff.com instead.

How to answer a request

  1. 1.Open Accounting in the left menu, then choose My Accountant.
  2. 2.Select the Requests tab.
  3. 3.Open the request to see what we need, and the date we need it by.
  4. 4.Add your answer as a comment — and attach the document we asked for.
  5. 5.Send it. Once you respond, the request is answered and it is back in our hands.

You never have to edit the request itself. Answer it with a note or a document — that is all it takes, and we get to work on it right away.

What you will find there

  • Requests to answer questions, load documents, and other things like that — a bank statement, a notice, a policy, or something else we need on file
  • The due date we are working toward, so nothing slips past
  • Your past requests and answers, kept in one place so you can look back at what you sent

If you would rather send a stack of papers at once, use Shared documents. If we asked you for one specific thing, answer the request and it is handled.

Sharing Documents With Us

Send us your paperwork
using QuickBooks Shared Documents.

No more email attachments or paper folders. QuickBooks has a private place where you and our team pass documents back and forth, and everything stays with your file.

How to share a document

  1. 1.Open Accounting in the left menu, then choose My Accountant.
  2. 2.Select the Shared documents tab.
  3. 3.We set up a folder structure for you in Shared Documents. Drop everything into the folder called UPLOAD HERE — no need to figure out where it belongs.
  4. 4.Choose Upload and pick your files — statements, notices, letters.

Please use the UPLOAD HERE folder. If you sort it for us, we may never see it.

What to send us

  • Bank and credit card statements
  • Annual tax returns
  • Depreciation schedules
  • Amortization schedules
  • IRS and state notices, business licenses, permits, and anything else official
  • Formation documents and your EIN letter
  • Insurance policies
  • Loan papers, lease agreements, and contracts
  • Vehicle titles and registrations
  • Payroll records, W-2s, and 1099s
  • Large asset receipts — equipment or a vehicle, for example. These come here as documents instead of through receipt capture
  • Anything you want a second set of eyes on
  • Other applicable items

If we have asked you for something, it appears under Requests in the same window — answer it there so we know it is handled. Do not see My Accountant? Then we are not connected to your file yet: start with step 01 above, or contact Emmaline ataccountant@meisterhoff.com and we will get you set up. MeisterHoff & Associates is on the other end of every upload.

Your QuickBooks Inbox

Ask us anything, anytime.
It goes straight to your MeisterHoff Bookkeeping team.

The Inbox is a two-way conversation with your MeisterHoff Bookkeeping team. When we have a question about one of your transactions, it comes to you here. And you can ask us anything, anytime — a quick question, a number you want explained. Every note goes straight to your MeisterHoff Bookkeeping team rather than a shared mailbox, and we answer you right here in QuickBooks. Nothing gets buried in your email. The longer-term items — a document or an answer we need for a period or a filing — come to you as Requests in My Accountant instead.

How to work your Inbox

  1. 1.Open the Inbox in the header. On a computer it sits at the top right, a couple over from your login and settings. On your phone it sits at the top of your home screen — not in the menu. It is where QuickBooks gathers everything waiting on you.
  2. 2.Open each item and leave a note with your answer. That is all we need from you — our team handles the categorizing.
  3. 3.Leave a note whenever something needs explaining. We read every note and answer you there.
  4. 4.You never need to clear the list. That is our job: we clear an item only once it is fully answered, categorized, and tucked away in your financial files.

On the Simple plan?

The Inbox is not included in the QuickBooks Online Simple plan. If you do not see Inbox, nothing is missing on your end — send documents to us through Shared Documents, and send questions by email only, to accountant@meisterhoff.com. Payroll does not run inside QuickBooks on the Simple plan either, so we run yours in Gusto. If we run your payroll, send your payroll hours to that same email address and we will take it from there.

Does MeisterHoff run your payroll?

Then your Inbox is the perfect place to submit your payroll hours and supporting information. It goes straight to your MeisterHoff Bookkeeping team, so nothing gets lost. On the QuickBooks Simple plan, where there is no Inbox, email your payroll hours to accountant@meisterhoff.com instead — and note that payroll does not run inside QuickBooks on the Simple plan, so we run it for you in Gusto.
